For wedding photographers

Run more weddings. Not a bigger team.

StoonOS is one workspace for the business side of wedding photography: enquiries, couples, proposals, contracts and the details around every date. The admin stops living in your inbox, your notebook and three different drives.

StoonOS is onboarding a first group of UK wedding professionals. Access is by request.

The problem

You did not become a photographer to run an admin system.

An enquiry arrives while you are shooting. The reply happens two days later, and by then the couple has emailed three other photographers. The proposal gets rebuilt from last year’s file because the details were never in a system. The contract is chased over email, and the answers to “what time do you need us?” are spread across a notebook, a shared drive and a group chat.

None of that is photography. It is the operational load that decides how many weddings you can take on before the season stops being enjoyable — and it is the load that grows fastest when you are busy.

Where a wedding currently lives

  • The enquiry email
  • A pricing PDF from last year
  • The contract in a folder
  • The date in a calendar
  • The follow-up in your head

What it does

The business side of every wedding, in one place.

Everything below is in the product today. Where something is not, we say so plainly rather than letting you find out after you have committed.
  • Enquiries arrive in one place

Paste an enquiry in, or connect your Gmail inbox and let StoonOS read it. It proposes the details — names, date, venue, budget signal — and you approve what becomes a lead. Nothing enters your pipeline unreviewed.

  • A pipeline you can actually work

Every lead sits at a stage — new, contacted, qualified, proposal, negotiation — so you can see who is waiting on a reply and who has the proposal out. The follow-up that decides the booking stops being the one that slips.

  • Proposals that keep their own history

Build a proposal from line items with the totals calculated for you. Every edit creates a new version, so you can see exactly what a couple was looking at, and when.

  • Accepted from a secure link

The couple opens their proposal from a private link and accepts it after a one-time code sent to their email. No account to create and no PDF to chase.

  • Contracts and documents, versioned

Draft a contract, keep every version, and send it by private link for the couple to sign. Questionnaires, schedules and supplier paperwork sit alongside it instead of across drives.

  • A portal the couple can open

Passwordless access to their own event: the date, the location, the details you have added, and the documents you have marked as visible to them. No account to create and no attachment to re-send.

The workflow

How a wedding moves through StoonOS.

  1. 01

    The enquiry lands

Paste it in or let StoonOS read it from your inbox. It proposes the structured details rather than making you retype them.

  2. 02

    You approve it

Nothing enters your pipeline until you have looked at it. On your say-so, the enquiry becomes a lead.

  3. 03

    The lead is worked

Reply, quote, follow up. The history stays on the record instead of in a thread you have to search for later.

  4. 04

    The proposal goes out

Line items, calculated totals, full version history. Send the couple a private link.

  5. 05

    The couple decides

They accept from the link using a one-time code sent to their email, or decline it — with a reason if they choose to give one. No account to create either way.

  6. 06

The date is run from one place

The contract, the documents, the couple’s portal, the tasks and the run of show for the day itself.

Scope

Narrow on purpose.

A tool that claims to run everything usually runs nothing well. This is what StoonOS is for, and what it deliberately leaves alone.
  • What it takes off your plate

Rebuilding the same proposal, hunting for the current version of a contract, forwarding screenshots to a second shooter, and reconstructing “where are we with the Hartley wedding?” from your sent folder.

  • What it does not do

StoonOS is not a gallery delivery or photo-culling tool, and it is not an editing suite. Your images stay in whatever you already use. It is the business side of the studio.

What is in StoonOS today

StoonOS is under active development and we would rather you knew the edges before you asked. This list is the honest state of the product today.

In the product today

  • Enquiries, with details proposed from the text or a connected Gmail inbox, and human approval before a lead is created
  • A lead pipeline, so the next follow-up is visible rather than remembered
  • Clients and contacts held on one record per couple
  • Proposals with line items, calculated totals and full version history
  • Proposal acceptance by the couple from a private link, verified with a one-time email code
  • Contracts drafted, versioned and shared by private link, and signed by the couple there after a one-time code sent to their email
  • Documents uploaded, versioned and downloaded
  • A passwordless client portal showing each client their event details and the documents marked as client-visible
  • Events, tasks with subtasks and dependencies, and a run-of-show timeline
  • Budgets with planned, approved and actual costs, in one currency per budget
  • The money side of a booking: a deposit requested against the signed contract, a payment schedule splitting the balance into installments, and invoices the couple can open from a private link. Payments are made to you directly and recorded in StoonOS; it does not take card or online payments
  • Outbound email from your own Gmail account
  • Your country, currency, time zone and language set per organisation — GBP included

  • Accounting integrations, VAT or tax handling

Frequently asked questions

Is StoonOS suitable for a solo photographer or a small studio?

It is built for small teams, which is most wedding studios. You can invite the people you work with into the same workspace, and there is nothing in the product that assumes a minimum size. Solo photographers use the same enquiry-to-contract flow a five-person studio does.

Where is StoonOS available?

StoonOS is browser-based, and each organisation configures its own country, currency, time zone and language. There is no VAT or country-specific tax handling in the product today. StoonOS is currently in private beta; public market availability has not been announced.

How do I get access to StoonOS?

Access is by request. We are onboarding a first group of UK wedding professionals, so use any of the request links on this page and we will be in touch. There is no open sign-up and no free trial to register for.

Does StoonOS replace my editing or gallery delivery tools?

No. It does not store, edit or deliver images, and it is not trying to. StoonOS handles the business records around a wedding — who enquired, what you quoted, what they accepted, and how the date gets run.

What does StoonOS cost?

No price has been published yet, and there is nothing to buy today: StoonOS is in private beta. When pricing is set it will be published on this site rather than quoted privately.
